Kindly send us scanned copy of the bank remittance slip within 24hrs of the completion of the transaction, without which we will not be able to trace your payment and, as a result, your registration status will keep showing as “NOT PAID”. Only transfer of fee in the bank account shall not be considered as payment and PAID status cannot be attained unless a confirmation is received from secretariat.

Please read these terms and conditions carefully. These terms and conditions are subject to change from time to time without prior notice.

  1. Conference Materials

    You will receive conference documentation/materials, your personal name badge and all relevant documents during the conference at the registration desk at Hotel Taj Palace, Sardar Patel Marg, New Delhi.

  2. Programme Book/Abstract Book

    In line with the conference theme 'The Endgame for Tobacco’, we are focused on making the International Conference on Public Health Priorities in the 21st Century a sustainable conference, the Programme Book and Abstract Book will be provided in softcopy in a portable medium to all conference delegates.

  3. Registration Desk Opening Hours

    The registration desk will be opened on the following days and timings.

  1. Travel and Transportation

    All delegates/accompanying persons are responsible for arranging their own travel and transportation. Please note that all delegates/accompanying persons travelling into India must meet the following entry requirements.

      • A valid travel document (minimum validity of 6 months);
      • Onward/return ticket;
      • Entry facilities to next destination;
      • Sufficient funds to stay in India, and/or
      • Entry Visa for India
  1. Registration Policy

    The conference registration policy is as follows and applies to all individual and group registrations.

  • Cancellation and Refund :-
    All cancellation requests must be submitted in writing by fax, letter or email to MCI Management India Pvt Ltd., The Official Registration and Accommodation Agency. For all cancellation requests received before and on 15 August 2013, a cancellation fee of 50% of the total registration fees will be applicable. No refunds will be permitted for cancellations received after 15 August 2013. All refunds will be made within 3 months after the conference.
  • Modification and Substitution :-
    All modification and substitution requests must be submitted in writing by fax, letter or email to MCI Group Asia Pacific Pte Ltd, The Official Registration and Accommodation Agency. For replacement of delegate names under individual registration, written permission from the original registered delegate will be required, along with full contact details of the substitution. For replacement of delegate names under group registration, the substitution must be from the same organization. An administrative fee of INR 1500 will be applicable for such requests received after 15 August 2013.
  • Graduate Student Registration (Indian students only):-
    All students are required to upload a valid identity proof from their institution at the time of registration. This can be an official letterhead and official stamp of the Institution or University and signed by the Head of Department. Should there be no valid proof provided, the conference secretariat reserves the right to reject any registration or entry to the conference, or revert the student registration to Delegate Fee rate based on the date of original online/offline registration and the delegate would be required to pay the remaining balance prior to the conference.
  • Outstanding Balance :-
    All delegates are advised to arrange full payments prior to the conference to avoid any delays in collecting their badges and conference materials on-site. No badges and conference materials will be issued to delegates with outstanding payment.
  1. Badge/Security

    For security reasons, all delegateswill be issued a badge onsite that is required to be worn at all times during the conference and at any organized functions. Badge swapping is strictly prohibited. In the event of a lost or forgotten badge, an administrative fee of INR 1500 will be charged for the reprint of the badge after verification of identification (passport, driving license or other recognized identification paper).

  2. Insurance and Liability

    In the case of Government intervention or regulation, military activity, strikes or any other circumstances that make it impossible or inadvisable for the Conferenceto take place at the time and place provided, the delegate shall waive any claim for damages or compensation except the amount paid for registration after deduction of actual expenses incurred in connection with the conference and there shall be no future liability on the part of either party. All delegates are encouraged to obtain adequate cover for travel, health and accidental insurance before they depart from their countries. The organizers, their suppliers or agents will not be held liable for any personal injuries, or loss of, or damage to, private property belonging to the conference delegates and accompanying persons.
